Regulatory Inspection Prep: Proving Clinical Competency in the Age of Independent Prescribing

In 2026, inspections are more ‘show me’ rather than ‘tell me’ so providing only verbal evidence of clinical governance is not acceptable. Whilst the burden of proof for clinical governance lies with the pharmacy owner and the Superintendent, here is how you use the Deltera platform to turn "Inspection Dread" into a demonstration of clinical excellence.

1. The Digital Paper Trail: Proving Scope of Practice

A central pillar of the GPhC’s Standards for Pharmacy Professionals is professional knowledge and skills. During an inspection, you may be asked to prove that your IPs are only prescribing within areas where they have documented training. History this evidence has only been available on paper, external training certificates, make-shift self-declarations, however the Deltera platform places competency mapping at the centre of service design.

  • Filtered Audit History: Deltera allows you to instantly pull up a filtered history of consultations. This can be done at an organisational, pharmacy, or IP level to effectively audit consultation, patient, and service outcomes. Taking a quality improvement process supports continuous development of the service and the staff providing.
  • The Evidence: A central service formulary approved by the Superintendent for use by their reporting IP pharmacists informed by the IP’s areas of competency. You can demonstrate to an inspector that a specific IP is only conducting consultations for services they are mapped to, providing immediate, transparent proof of governance.
  • Central Repository: Staff users can upload an unlimited number of training certificates and digital files that demonstrate their knowledge and competency. These sit alongside the latest versions of the digital PGDs and Declarations of Competence for each service category, giving a full and holistic picture of any staff member’s competency to provide services in your pharmacy organisation.

2. Automated Authorisation: No Signature, No Service

One of the easiest ways to fail an inspection is having a staff member accidentally perform a service under an expired PGD or before they’ve signed the latest version.

Deltera hard-codes this safety check into the system:

  • Mandatory Sign-off: The platform prevents a pharmacist from proceeding in a consultation unless they have digitally signed the most recent version of the PGD.
  • Head Office Oversight: Superintendents can view a real-time matrix of who has signed which PGDs across the entire group. This control and "birds-eye view" of compliance is exactly what inspectors look for to prove robust leadership and oversight. In the unfortunate event of an adverse event or investigation, service can be immediately paused for identified staff members whilst training is undertaken – until the PGD is reinstated the staff member cannot continue with service provision.

3. Competency Mapping: Quality Assurance at Scale

An inspector wants to see that you haven't just "given everyone access" to every service. You need to show that staff are mapped to services based on their specific skills.

With Deltera, you can map staff to specific services based on the competencies they have uploaded to the platform. Whether it’s a specific Travel Health qualification or an IP specialty in Weight Management, the software ensures that only the pharmacists you choose can access those specific modules. This isn't just a convenience; it’s a high-level clinical gatekeeper.

Don’t Just Manage Compliance—Showcase It

The most successful inspections in 2026 are the ones where the pharmacy can "show, not just tell." By using Deltera, you aren't just storing records; you are using a clinical governance system that was built to meet—and exceed—regulatory standards.
